Definitions
This privacy notice uses the terminology of the General Data Protection Regulation (GDPR):

- “File system” means any structured collection of personal data accessible according to specific criteria, regardless of whether that collection is managed centrally, decentralized, or organized according to functional or geographic criteria.
- “Controller” means the natural or legal person, public authority, agency, or other body that, alone or jointly with others, determines the purposes and means of the processing of personal data; where the purposes and means of such processing are determined by Union law or the law of the Member States, the controller or the specific criteria for its designation may be provided for by Union law or the law of the Member States.
- “Processor” means a natural or legal person, public authority, agency, or other body that processes personal data on behalf of the controller.
- “Recipient” means a natural or legal person, public authority, agency, or other body to whom personal data is disclosed, regardless of whether or not that entity is a third party. However, public authorities that may receive personal data in the course of a specific investigative mandate under Union law or the law of the Member States are not considered recipients; the processing of such data by the aforementioned public authorities is carried out in accordance with applicable data protection regulations and in line with the purposes of the processing.
- “Third party” means a natural or legal person, public authority, agency, or other body, other than the data subject, the controller, the processor, and the persons authorized under the direct responsibility of the controller or the processor to process the personal data.
- “Consent” means any freely given, specific, informed, and unambiguous indication of the data subject’s wishes, expressed by a statement or by a clear affirmative action, by which the data subject signifies agreement to the processing of personal data relating to him or her.
Processing Activities
We collect and process the following personal data about you:
- Contact, address, and sales information, provided that you have submitted your contact information to us or registered on our site,
- Online identifiers (e.g., your IP address, browser type and version, operating system, referrer URL, IP address, file name, access status, amount of data transferred, date and time of the server request),

Purpose of Data Processing
We process your data for the following purposes:
- to respond to your request for contact,
- to provide information about our activities and offers,
- to book and manage NaWik events,
- for promotional purposes,
- to send the email newsletter, provided you have subscribed to it,
- for quality assurance, and
- for our statistics.,
Legal Bases for Data Processing
Your data is processed on the following legal grounds:
- your consent pursuant to Art. 6(1)(a) of the GDPR,
- to perform a contract with you pursuant to Art. 6(1)(b) of the GDPR,
- to comply with legal obligations pursuant to Art. 6(1)(c) of the GDPR, or
- based on a legitimate interest pursuant to Art. 6(1)(f) of the GDPR.
If we base the processing of your personal data on legitimate interests within the meaning of Article 6(1)(f) of the GDPR, these include

- maintaining our statistics.
Data Sources
We receive the data from you (including via the devices you use). If we do not collect the personal data directly from you, we will also inform you of the source from which the personal data originates and, if applicable, whether it comes from publicly available sources.

- if we need the data to fulfill a contract, at most for as long as the contractual relationship with you exists or statutory retention periods apply;
- if we use the data based on a legitimate interest, at most for as long as your interest in erasure or anonymization does not outweigh ours.
Your Rights

Contact Form
The contact form on our website is an easy way to get in touch with us quickly. To ensure that we can respond to your inquiry, some fields are marked as required. By filling out the fields and selecting “Submit Inquiry,” you agree that your data will be transmitted to us via email along with your message. The data is not stored on the web server.
Email Newsletter
When you subscribe to our newsletter, we use the data required for this purpose—or data you have provided separately—to send you our email newsletter on a regular basis. You can unsubscribe from the newsletter at any time by either sending a message using the contact information provided above or by clicking the unsubscribe link included in the newsletter.
Newsletter Software Provider: CleverReach
This website uses CleverReach to send newsletters. The provider is CleverReach GmbH & Co. KG, Schafjückenweg 2, 26180 Rastede. CleverReach is a service that allows for the organization and analysis of newsletter distribution. The data you provide to subscribe to the newsletter (e.g., email address) is stored on CleverReach’s servers in Germany and Ireland.
Our newsletters sent via CleverReach allow us to analyze the behavior (conversion tracking) of newsletter recipients. Among other things, this enables us to analyze how many recipients opened the newsletter and how often each link in the newsletter was clicked. Data processing is based on your consent (Art. 6(1)(a) of the GDPR). You may revoke this consent at any time by unsubscribing from the newsletter. The lawfulness of data processing operations that have already taken place remains unaffected by the revocation. If you do not wish to be analyzed by CleverReach, you must unsubscribe from the newsletter. Data Security
We have implemented comprehensive technical and organizational measures to protect your data against potential risks, such as unauthorized access, disclosure, alteration, or distribution, as well as against loss, destruction, or misuse.
To protect your personal data from unauthorized access by third parties during transmission, we secure data transfers using SSL encryption where necessary. This is a standardized encryption method for online services, particularly for the web.
Log Files
Every time our website is accessed, usage data is transmitted by the respective web browser and stored in log files, known as server log files. YouTube

Normally, when you visit a page with embedded videos, your IP address is sent to YouTube and cookies are installed on your computer. Events
We offer various events, such as training sessions, workshops, lectures, e-learning courses, etc., which are grouped under “Events.” For some of these offerings, we ask that you register in advance, during which we will request certain required information. This includes, in particular, your name, title, email address, and institution, as well as data necessary for your participation in and the conduct of the event. You can find a detailed overview in the respective registration form.
The data is processed for the purpose of fulfilling contractual obligations, including the preparation of supporting materials for the event, such as participant lists. To send you information about the event in question, as well as to notify you of important changes—such as changes to the scope of the event or due to technical requirements—we use the email address you provided during registration to contact you.
We store the data collected during registration until the purpose for data processing no longer applies or the data is no longer necessary for that purpose. If the data is not deleted because it is required for other legally permissible purposes, its processing will be limited to those purposes. The data will therefore be blocked and not processed for any other purposes. This applies, for example, to data that must be retained for commercial or tax law reasons, or whose storage is necessary to assert, exercise, or defend legal claims, or to protect the rights of another natural or legal person. If users request the deletion of their personal data, their data will be deleted, subject to any statutory retention obligations. This does not apply to data that has already been printed and distributed.
Payment Services
We charge a participation fee for some events. As part of this contractual relationship, we offer data subjects an efficient and secure payment option. In some cases, we use payment service providers for this purpose. The data processed by the payment service providers includes information such as name and address, bank details (in particular account numbers or credit card numbers), as well as contract and payment amount details. This information is required to process the respective transactions. However, the data entered is processed and stored solely by the payment service provider. If you use PayPal, we do not receive any account or credit card information, but only information confirming or rejecting the payment. The respective terms and conditions and privacy policies of the relevant provider apply to these transactions.

We use the G Suite service to store and process documents and shared files for internal communication as well as for communication with our customers and event participants.

Google Fonts
We embed the fonts (“Google Fonts”) provided by Google locally to ensure that the fonts are displayed correctly in users’ browsers. Google Fonts are loaded directly from our own server and no longer via the Google Fonts Application Programming Interface (API). This ensures that no user data is sent to providers outside the EU, as our website’s server is located within the EU. Google Tag Manager
We use the “Google Tag Manager” service provided by Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland.
Google Tag Manager is a tool for managing website tags. Google Tag Manager itself does not set any cookies or perform any independent analyses. Google Tag Manager merely triggers other tags, which may in turn collect data.
In doing so, it may be technically necessary for the user’s IP address to be transmitted to Google’s servers to ensure the proper functioning of the integrated services.

Google Analytics uses cookies and similar technologies to enable analysis of website usage.
We have enabled IP anonymization. As a result, the IP addresses of users within the European Union or the European Economic Area are truncated before transmission. Only in exceptional cases is the full IP address transmitted to a Google server and truncated there.
The information collected by Google Analytics is generally transmitted to Google’s servers and processed there. Transmission to third countries, particularly the United States, cannot be ruled out. For such cases, we have put in place appropriate safeguards, in particular the adoption of the European Commission’s Standard Contractual Clauses.
Processing is carried out exclusively on the basis of consent pursuant to Art. 6(1)(a) of the GDPR and § 25(1) of the TTDSG. Consent may be revoked at any time with future effect via our consent management tool.
We use Google Analytics with certain features enabled to analyze user interactions and generate aggregated reports on website usage. Data is combined with other Google data only within the scope of the settings we have selected and in accordance with your consent.
You can prevent cookies from being stored by adjusting your browser settings accordingly. Photo, Video, and Audio Recordings at Events, Workshops, and Street Surveys
We take photos, videos, and audio recordings at events, workshops, training sessions, interviews, and street surveys to inform the public about our work, our events, and the topics we cover. In particular, the following data may be processed: photographs, video recordings, audio recordings, name, position, institution, and, where applicable, statements or interview excerpts from the individuals concerned.
We use these recordings only if there is a legal basis for doing so. In the case of targeted recordings of individual persons, interviews, street surveys, or clearly recognizable participants, we generally base the processing on your consent pursuant to Article 6(1)(a) of the GDPR and, insofar as images are involved, on your consent under Section 22 of the Austrian Art Copyright Act (KunstUrhG). In individual cases, photos and video recordings may also be processed on the basis of our legitimate interest pursuant to Article 6(1)(f) of the GDPR. Our legitimate interest lies in public relations, documentation, and providing information about our events and activities. This applies in particular to overview shots and atmospheric images of events in which individual persons are not the focus.
The recordings may be published on our website, in newsletters, in presentations, and on our social media channels. When published on social media, the respective platform operators may process personal data independently. This may also involve the transfer of data to countries outside the European Union or the European Economic Area.
A participant may revoke any consent given at any time with future effect. The lawfulness of the processing up until the time of revocation remains unaffected. Following a revocation, we will assess whether and to what extent it is possible and reasonable to delete or remove the recording in question. We cannot fully control any subsequent use by third parties or platform operators. If a participant does not wish to be recorded, they may inform us of this before or during the event. At events, we will make every effort to accommodate such requests from an organizational standpoint.
Applications
We refer individuals who apply to NaWik and submit relevant documents to us as part of the application process to our Privacy Notice for Applicants.
We reserve the right to amend this Privacy Policy at any time with future effect.
